Primarily the thing to consider when selecting a notary journal is that it is a business record so you need to select a journal that works for you. Having a scenic book cover may be nice but your journal is not for showing off, it is a legal record that you maintain for your protection.

The Basic Journal of Notarial Acts:
This book has the traditional layout across both pages and twenty-one (21) entries down. It also contains a spot to record the document date and record how much you charged for your service. It comes spiral bound to lay flat and contains over 1,500 entries.
It is generally used in office situations where you are regularly notarizing for the same few people and the same types of documents.
The Standard Journal of Notarial Acts:
While each entry is also laid out across both pages of the book there are five (5) entries down but with more space for recordkeeping. Rather than always having to write in the type of notarization you simply fill in the number of which type(s) of notarization(s) you are doing. This book also has more space for recording the type of documents being notarized and an area for notes or any additional information you wish to record.

The A.N.S. Journal of Notarial Acts:
This book is designed to give the notary the most protection possible. Not only does it contain all the qualities of the Standard Journal it has three different statements that, depending on the notary language on the document, your customer signs giving you a record not only proving that they were there but what their intent of the signing is. When using this book properly you will have a record that your signer:
Signed the document of their own free will for the purposes stated in the document,
Signed the document of the free will of who, or what, they are representing and that they are authorized to sign on that party’s behalf, or

What is Errors & Omissions Insurance?
It is an optional form of insurance that protects you in the event a claim is made against you. Errors & Omissions insurance coverage will pay for claims up to the limit of the policy. Attorney fees are included (up to half the limit of the policy) in the total amount of coverage. Claims for damages and attorney fees cannot exceed policy limit.
I only use my commission at work. Why do I need insurance?
YOU are responsible for payment of any claims made against you, not your employer. Even if your firm carries a professional liability policy it may not cover notarial acts and your employer may refuse to accept responsibility for your actions. Also, many claims are not filed until sometime after the act has taken place and the company policy may not cover you if you’re no longer employed with the company.
My company would like to provide coverage for all of us. How would that work?
Unlike the individual coverage, group policies do not need to name the employees to be covered. This policy is written based on the number of notaries on staff. It is billed to you on a yearly basis, with premium based on the number of employees acting as notaries at each renewal.

GROUP COVERAGE:
AN ANNUAL POLICY WRITTEN IN THE NAME OF THE COMPANY, COVERING
EMPLOYEES FOR NOTARIAL ACTS WHILE EMPLOYED.
Many employers make this choice because the policy only numbers, not names the notaries. This way if one person leaves and they are replaced no changes are needed to the insurance policy.
These are yearly premiums and the policy is only in effect if the premiums are paid.

Our Signing Agent Errors & Omissions Insurance Policy is designed to fill in the gaps that are left with traditional Notary Errors & Omissions Insurance, which only provides coverage for the actual notarizations in a loan package.
Signing Agent E&O provides coverage for actions such as:
- Innocent errors or omissions related to Signing Agent notarial acts.
- Incorrect or missed dating.
- Missed initials or non-notarized signatures.
- Improper corrections made to documents.
- Failure to complete the signing on time due to the sole negligence of the signing agent.
- Late return of date-sensitive documents.
- Legal defense.
It does not cover:
- Rendering advice or opinion on a potential loan as this is the unauthorized practice of law.
- Notarizing without the physical presence of the signer.

NAME/ADDRESS CHANGE:
By law in Idaho Notaries are required to notify the Secretary of State’s office within 30 days of any changes that were provide as part of the application process, including their name, physical residence address, mailing address, personal telephone number, employment information, and whether the notary intends to provide electronic notary services.

Upon receipt an amended Certificate of Commission will be issued and you will have to obtain a new stamp showing the updated information.
FAQ
What is a Notary?
A notary is a third party, impartial, public officer whose duty is to identify a signer, take the signers statement and watch them sign the document. Every official act as a notary has legal implications.
Do I have to buy a Bond?
In Idaho, yes but the bond offers you no financial protection if you make a mistake. The purpose of a bond is to protect the public, not the notary. Because of this you may want to consider E&O insurance.
What is E&O Insurance?
Notary Errors & Omissions Insurance is optional protection for you. The policy can be used to pay the damaged party and half the policy limit can be used for your legal fees. Even notaries who are only using their commission for work should purchase one of the lower limit policies just in case they need to hire an attorney.
When can I get my notary stamp?
In Idaho you must, by law, provide a copy of your notary certificate to your stamp supplier before they manufacture & release your new stamp.
Do I have to keep a journal?
No, but you should. Using a journal helps insure that you follow the same procedures each time. It will give you a complete record of what you have done and help you in the event you need to recall the specifics of a particular notarial act.
Do I have to become a member of a notary organization?
No! While there are several organizations that offer informational services or notary products that you may find interesting, we recommend that you consider the value of a membership before spending your money. There is just a line for my signature and a line that says “Notary Public”. Can I sign and place my seal near there?
NO! No matter what state you are in all notarial acts must be evidenced by a proper certificate specific to your state and the document presented. There is no universal notary language that can be used for every situation.
